The short version

  • We collect what we need to run your account, your conversations with Sam, and your payments.
  • We never sell your information and we never use it for advertising.
  • Saved conversations, your intake answers and your summaries are stored encrypted.
  • If your employer pays for your access, they cannot read your conversations.
  • You can ask to see, correct or delete your information at any time.

Who we are

Success Mentor is run by Untoshi Holdings (Pty) Ltd (registration number 2024/281530/07), a South African company. We are the responsible party for your personal information under the Protection of Personal Information Act, 2013 (POPIA). That means we decide what is collected and why, and we answer for it.

What we collect, why, and for how long

We only collect what the service needs. The table lists each kind of information, what we use it for, and how long we keep it.

Our server also keeps short technical logs, which include IP addresses, so we can find faults and stop abuse.

Information we receive from Google

If you sign in with Google, Google shares only your email address, your name and your profile picture with us. We do not ask for access to your Gmail, contacts, calendar, files or anything else in your Google account.

We use that information only to create your Success Mentor account and to sign you in. We do not sell it, we do not use it for advertising, and we do not share it with anyone except the service providers named in this policy, who process it on our behalf.

Signing in with Apple works the same way: Apple shares your name and email address, or a private relay address if you choose to hide yours, and we use it only for your account.

How Sam uses what you tell it

Sam is an AI mentor. To write each reply, we send your message to an AI model provider together with what Sam needs to answer well: the recent conversation, your intake answers and, on the Committed plan, your journey summary.

Sam also searches our library of source material for passages that relate to your message. To do that, the text of your message is sent to OpenAI to be turned into a search key. Sometimes Sam searches the web; the search words Sam writes are sent to Serper, a search service. Those words can reflect what you said.

Nobody at Success Mentor reads your conversations as part of running the service.

Who we share it with

We use these service providers to run Success Mentor. Each receives only what its job needs.

  • OpenAI or OpenRouter run the AI model that writes Sam's replies and conversation summaries. OpenRouter passes requests on to the model provider it routes them to.
  • OpenAI turns your messages into search keys for our library.
  • Serper runs the web searches Sam makes.
  • Paystack takes your payments, holds your card details, and receives your billing details.
  • Resend delivers our emails: email confirmation, password resets, payment notices, and contact-form messages to us.
  • Oracle Cloud hosts our servers and database.
  • Google Fonts and jsDelivr serve the fonts, styles and scripts our pages use. Your browser fetches these directly, so these services see your IP address.
  • Google and Apple, if you choose to sign in with them.

We do not sell personal information. We do not use advertising or analytics services, and we do not share your information with anyone else unless the law requires us to.

Where your information is kept

Our servers and database are in Oracle Cloud's South African region, so your stored information stays in South Africa.

Some processing happens outside South Africa. Your conversations are processed by the AI model provider and OpenAI, search words by Serper, and emails by Resend, all of which run outside the country. Sending your information to them is necessary to provide the service you signed up for.

Cookies

We use only the cookies the site needs to work: one that keeps you signed in, and one that protects sign-in and forms against forgery. We use no advertising or analytics cookies, so there is nothing to opt out of.

Your choice of light or dark theme is saved in your own browser and never sent to us.

If your employer provides your access

If your access comes through your employer's Company Access, the people managing it can see that you hold a seat: your name, email address, plan, whether your email is confirmed, and when you joined.

Your employer cannot read your conversations, your intake answers or your summaries. Their view is built from seat records only, and conversation content is not part of what it can show.

Your employer can remove you from their Company Access. Removing you deletes your Success Mentor account, including your conversations, intake answers and summaries.

How we protect it

Your intake answers, saved conversations, conversation summaries and journey summary are encrypted before they are stored. Passwords are stored only as a one-way hash, so we cannot read them. All traffic to the site is encrypted in transit.

If a breach ever puts your personal information at risk, we will tell you and the Information Regulator as POPIA requires.

Your rights

Under POPIA you have the right to:

  • ask what personal information we hold about you, and get a copy;
  • ask us to correct information that is wrong or out of date;
  • ask us to delete your information, including your whole account;
  • object to how we use your information;
  • complain to the Information Regulator.

To make any of these requests, email our Information Officer at wim@untoshi.com from the address on your account. We may ask you to confirm who you are before we act. Account deletion is handled on request in this way.

On the Committed plan you can also delete any saved conversation yourself, from your conversation history.

If you are unhappy with how we have handled your information, you can complain to the Information Regulator of South Africa at inforegulator.org.za. We would appreciate the chance to put it right first.

Age

Success Mentor is for adults. You must be 18 or older to create an account, and we do not knowingly collect information from anyone younger.

Changes to this policy

When we change what we collect or who we share it with, we will update this page and its effective date. If a change is significant, we will tell you by email before it takes effect.
